The Executive Coordinator plays a pivotal role in ensuring seamless communication and coordination among the Board of Directors, Chief Executive Officer (CEO), and Executive Leadership Team (ELT). This position requires exceptional professionalism, discretion, and organizational skills. The Executive Coordinator serves as a trusted liaison, managing critical information flow and providing high-level administrative and operational support to the Board, CEO, executive, and senior leaders.
Key Responsibilities
- Serve as the primary point of contact and liaison between the Board of Directors, CEO, and executive and senior leadership.
- Coordinate new Board member onboarding.
- Coordinate and prepare materials for Board and committee meetings, including agendas, reports, minutes, and follow-up actions.
- Manage scheduling, logistics, and communication for Board meetings, retreats, and special events.
- Attend all meetings and maintain accurate records of board activities.
- Ensure efficient operation and retention of documents in the Board portal.
- Provide administrative and operational support to the CEO, Executive Team, and Senior Management to facilitate smooth day-to-day operations.
- Prepare correspondence, presentations, reports, and other documents as requested.
- Lead and coordinate the Annual Membership Meeting
- Represent the credit union professionally in interactions with internal and external stakeholders.
Qualifications
- Bachelor’s degree required.
- Additional experience in lieu of degree may be considered.
- 5+ years of similar or related experience required. Preferably in a financial services or credit union environment.
- Exceptional organizational, communication, and interpersonal skills.
- Detail-oriented, proactive, and able to manage multiple priorities.
- Proven ability to handle confidential information with integrity and discretion.
- Strong proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) and collaboration tools (Teams, SharePoint, Board management software).
- Working knowledge of office procedures and machines.
- Strong desire and ability to adapt to new technology applications quickly.
Work Environment
- This position will be located at the Operations Center in Onalaska WI
- Position does require being able to work at a desk, sitting or standing, for long periods of time. Occasional lifting, carrying, pushing, and pulling of items weighing up to 25 pounds.
- This position does require the ability to manage multiple priorities and meet deadlines in a fast-paced environment.
Availability
- This position is full-time, 40- hours a week, Monday through Friday.
- Typical hours will be 8:00 a.m. to 5:00 p.m.
- Position will require evening hours for board meetings, annual meeting and committee meetings.
Pay and Benefits
- Competitive starting hourly pay, based on previous experience
- When bilingual in Spanish or Hmong, receive a $1.00 per hour pay premium after completing and passing the language exam.
